Circ-Reserves Expert Team announces an environment-friendly and convenient service

By Trish Notartomas

Instead of printing a date-due slip at checkout, a new selection in the WorkFlows Client includes an option that produces an email record of the transaction. Users will like this feature as they now have a convenient email record of their checkouts to refer to at a later date.

This new feature is available in the Workflows Checkout wizard. Staff will be able to email (and/or text) checkout receipts to users for their current transactions. An additional “next step” button will appear during every checkout.

When selected, a confirmation message pops up if an email exists in the user’s account.

This error displays if no email exists in the user’s account.

Staff will still be prompted to generate a paper receipt, and should click Cancel if the user opted for the email/text receipt.

    Great question Barbara!
At the patron’s request, we are able to generate an email AND paper receipt for every checkout.

In my experience, the presence of a receipt may not always indicate that an item is checked out in the system. If a patron sets off the security alarm when exiting the building, I would recommend you verify the checkout in Workflows even if s/he can produce a receipt.

Unfortunately, the vendor for the self-check stations does not currently offer this option.

Thanks. I think this option has advantages. Some students ask for a list of the books they checked out during the semester. One told me it is proof of having read a book on the required reading list and one said it is how she would remember titles to check out later. Now they can keep the data if needed on a transaction by transaction basis.

Can the staff still give a receipt to the students plus email to them at the same time?

We like to see the receipts at the help desks. I know it is counter productive re the green initiative, but so is having to check each book and or call the CSD regarding check outs. When a student has a book that is not desensitized, but was checked out, the paper shows us they did check out the book. We then desensitize it and send them back to through the gate.

The receipt saves some time when we are really busy or they have a lot of books. We do check in WorkFlows if there is no receipt to be sure the books were checked out. We also enter the data into Desktracker re the alarm going off at the gate.
