UCS Upgrade Postponed

Subject: Update: Software Upgrade to the University Collaboration Suite

The upgrade to the Zimbra Collaboration Suite (ZCS) version 8.0.4 is being postponed at this time. There is an issue with the disk subsystems that provides disk space for UCS. In the unlikely event that complications occur during the upgrade, there is concern about reverting back to the current version of UCS. Though the probability of any issues arising during the upgrade is low, the potential for loss is extremely high, making the risk unacceptable. When the disk subsystems issue has been solved, we will reschedule the upgrade. 

Service may be affected starting on July 27, 2013 at 4:30AM. The estimated time of resolution is July 27, 2013 at 7:30AM.

Saturday, July 20, 2013, between 4:30-7:30 a.m., UCS will be upgraded from ZCS 7.2.3 to ZCS 8.0.4. It is important to note that during this upgrade, those on UCS will not be able to send or receive e-mail or calendar appointments during the software upgrade. No messages will be lost during the upgrade. When complete, all queued messages will be processed.

      Introduction of Agenda

      Review of Survey

o  The division is currently using mobile devices more than expected

      Results of the survey were forwarded to ITS

      Update on Migration Date

      In order to thoroughly test migration tools, migration date has been moved back to September

o  That means that we’ll be looking at November

o  We’re working with ITS to do a split or rolling migration when units are able.

o  What are the criteria for early migration?

      Completely unable to migrate during November time frame

      Lack of communication with other SA departments (Self-Contained)

      Accounts have been created for Liaisons

o  Ben Locke (CAPS) has migrated to UCS completely.  Is approaching the 3GB limit.  Is inquiring about storage increases.

o  psu.edu email addresses will be forwarded to UCS.  If requested, SA accounts can be migrated and forwarded before the formal migration

      Training

o  Liaisons will be offered off-site training in Wagner building.

o  We’ll be working with ITS to setup training for other staff.

o  What will training look like before, during, after migration?

      We may do some training before migration (Videos? Documents?)

      We’ll build FAQs as we support users.

o  How to introduce this to your units?

      Add something to unit meeting notes

      IT staff are available to attend meetings

      During the meeting, we received word from Mike that accounts had been created.

o  psu.edu forwarders have not been set

o  We demo’d how to forward email address in work.psu.edu

o  A quick start guide was included.  I’ve attached it here.

      Question was asked if we could run mobile while still using exchange.

o  Yes.  Call IT for more info.

      Question was asked if liaisons could talk to someone who had a bad experience as well as someone who had a good experience.

o  Yes.  IT can provide references.

      Question was asked if an address list could be provided to liaisons until migration?

o  Yes.  IT will provide this.

o  Define any shared email addressed and answer the following questions

      Does this address need to be in the GAL?

      Do you need email for this address (Obviously, yes)

      Do you need a calendar for this address?

      Do you need a briefcase for this address?

      What is the full email address? (ex: address@sa.psu.edu)

      If there are questions, see Parker

o  Public folders?  Who’s using them?

o  Find any application specific workflows.

Student Affairs UCS Project Kickoff

The Student Affairs UCS Project Kickoff is tomorrow, June 13, 2012, from 10-11am at 205 Student Health Center.  This is the first meeting that will include the unit liaisons and we are expecting a total attendance of 28 staff.  This includes some of the technical project team and several ITS Consultants working on the project.  The agenda for the meeting will include introductions, purpose of the liaison project team, discussion about the various project phases and next steps.  Lastly, we will have a Q&A session.  Any questions that we cannot answer will be researched and answers will delivered via the project wiki and announced from this same blog site.

We look forward to seeing everyone at the kickoff meeting.
