Mapping Aeon Activity Data for Use in Annual Statistics

Miloche Kottman and Caitlin Donnelly

Almost three years after Kenneth Spencer Research Library launched Aeon, KU Libraries began using LibAnalytics (July 2014) to collect reference and instruction statistics for the Associated Research Library (ARL) Annual Statistics. Since some of the information needed was already documented in Aeon a small group got together and developed a process for entering instruction information in Aeon’s activity record in a manner that could subsequently be retrieved using MS Access queries, exported into Excel, and then imported into LibAnalytics. The process was modified when KU Libraries transitioned to the new version of the software, LibAnalytics Insight, in early 2016 and again to add additional fields required for our participation in the Greater Western Library Alliance’s (GWLA) Student Learning Outcomes Task Force. This presentation will share how we mapped existing and/or added new fields on the activity form to the required LibAnalytics Insight fields, created MS Access queries to extract the necessary data, and trained public service staff to fill out the revised Aeon form.
