APS Conference for Undergraduate Women in Physics at Penn State

CUWiP 2023 will be held Friday, January 20 – Sunday, January 22, 2023!

The goal of APS CUWiP is to help undergraduate women continue in physics by providing them
with the opportunity to experience a professional conference, information about graduate school
and professions in physics, and access to other women in physics of all ages with whom they
can share experiences, advice, and ideas. The national and local organizing committees of APS
CUWiP strive to create a welcoming environment for all, including undergraduate women and
gender minorities.


Registration at a Glance:

Registration: Please register on the email sent out to you by APS. Please note, all students must register in order to attend the conference. The deadline for registration is Dec 8, 2022, 5 pm ET. If due to unforeseen reasons you have to cancel your registration, you may do that up until January 2, 2023.

Poster submission: If you are interested in presenting at the conference, please fill out the poster abstract submission form here

Fee waiver: If you and your department are unable to pay registration fees please contact women@aps.org for a request for waiver. The last day to apply for fee waiver is Dec 6, 2022, 5pm ET.

Travel Assistance: Travel grants are available to participants whose departments are unable to provide full support. If department funding is not available, please contact us at cuwip2023@psu.edu for approval and reimbursement. If you are intending to get a reimbursement, do not purchase tickets before getting approval.

Hotel and food: You will be paired with a roommate and will be staying at at the Hyatt Place State College (219 W Beaver Ave) in downtown State College. This is located a 10-12 min walk from campus. We will provide shuttle service in the morning and evening to commute between the hotel and campus. All meals and refreshments during the conference are covered.

Dress-code: The dress-code for the conference is casual and comfortable. Layers are the key to attending a winter CUWiP. Since events are split between 3 building, you will need to bring layers to wear that you can put on or remove when moving between venues. Sweaters, long-sleeved shirts, warmers, and winter coats are all good things to pack. If you are presenting a poster, you may also consider business-casual attire; a dress jacket, suit, or formal pants are some examples. Please note, this is not a requirement. We encourage everyone to wear whatever they feel most comfortable in. Gloves, neck warmers, scarves and leg warmers are also good accessories to pack. It can rain and snow in State College in January. Please bring appropriate and comfortable water and snow proof footwear.

CUWiP has become incredibly popular. In order to maximize the number
of CUWiP participants we can accommodate, we will allocate participants to sites
based on travel logistics and site capacity. Please do not purchase travel tickets
or plan to be at a specific site until you receive an email confirming you have been
accepted to a specific CUWiP site.


COVID Information:

APS has updated their guidelines and proof of vaccination is no longer required to attend the conference. See APS COVID guidelines here and Penn State COVID guidelines here. Masking, vaccinations, and testing beforehand are all still strongly recommended.
