Once a document has been released, it is ready to be signed by the donor as well as relevant PSU personnel. And it can be signed either electronically or physically.
Step 1: Retrieve the released document
There are three methods to retrieving released documents:
- Through Email link: When the document is released, you will receive an email message containing a link to the document. Simply click on this link to retrieve the document in the application.
- Through the Views tab: You can retrieve your released document by going to Views and then click on the ‘My Units by Status’ View. Expand the ‘Questionnaires Released’ view and click on the folder icon to open the relevant released document.
- Through the Dashboard: You can retrieve your released document by going to your Dashboard and then select the ‘My Team Dashboard’. Scroll down to the GA/SODI section and ‘My Team’s Released Documents’ section and click on the Normal or Urgent button.
Step 2: Determine if the released document will by signed Electronically or if a Manual Signature will be obtained Physically.
A. If the document will be signed Electronically (preferred method):
Obtain the email address for each donor that needs to sign. For example, if you have two spouses and both need to sign, include the email addresses of both. Or if the donors are spouses and they share one email address, please indicate this.
Send an email request (along with the email address for each donor that needs to sign) to the Office of Gift Planning personnel (to David McGoron – dmm587@psu.edu, Andrea Mitchell – ack131@psu.edu, and Emily McGinley – ejm5985@psu.edu). They will send the Guideline Agreement or Statement of Donor Intent to your donor(s) requesting their signature(s). Once you submit your request, please let you donor know that they will be receiving a message from Adobe Sign (adobesign@adobesign.com) asking them to sign.
The Office of Gift Planning (OGP) then sends the packet to donors and all other signers for their e-signatures. Once all e-signatures are obtained, OGP and all other signers receive an email notice from Adobe Sign and copies of the fully signed documents will be attached to the email. OGP then “Executes” the fully signed GA or SODI and the donor will receive via email a hard copy of their GA/SODI printed on “blue” endowment paper along with their acknowledgement letter signed by Rich Bundy. And if relevant, an Endowment Certificate.
If your donor does not sign within a week, they will be reminded each week thereafter.
B. If the document will be signed Physically:
With the relevant released document open (see previous step), scroll down to the ‘Document Center’ section and expand this section. Then click on the ‘Approved Agreement’ button (or the ‘Publicity Consent Form’ button if you wish to print the publicity consent form).
A pdf version of the released document will download. Click on the icon for the downloaded document to open it in Adobe Reader. Then click on the Print icon to actually print the released document.
You will then present the document to the donor to sign.
Once donor signatures are obtained, forward these to OGP via email. Once received, OGP will route these through Adobe Sign for the remaining University signatures. Then once all signatures are obtained, they will print the final signed documents on the “blue” endowment paper and they will scan the document so it is stored and available for viewing in iFiles.
