Create a filter to route new service request emails in UCS

By Ryan Johnson, technology training coordinator

The new Service Request System uses email as a key component to update you on the progress of your IT or Facilities Requests. To avoid these emails cluttering up your inbox and possibly being misplaced, I would recommend creating a filter in UCS to automatically route these emails into a specific folder. This will allow you to quickly find and respond to requests.

To create a Service Request Filter in UCS, first go to the Preferences tab and select Mail->Filters.

preferences screen in ucs

Next, select New Filter. The Add Filter window will appear:

servicedeskGive your new filter a name (such as servicedesk) and add two conditions. The first condition filters any emails To lib@jira64.vmhost.psu.edu and the second condition will be to filter any emails From lib@jira64.vmhost.psu.edu (see above). The will catch any emails that come in from the system for new requests or updates to requests.

Finally, you will need to create a folder to place the emails in. Click on Browse under the Perform the following actions section.

The Choose Folder window will display. Select the New button and the Create New Folder window will appear. Give the new folder a name and click OK.

Finally, click OK in the Run Filter window to save your new filter. Test your new servicedesk filter by using the Run Filter button in Preferences.
