Department Heads: Locate Department Disclosures in COINS
As a Department Head, you have access to all the Disclosure Profiles for faculty in your department. To get started:
- Navigate to coins.psu.edu.
- Log in using your Penn State Account email address (e.g., abc123@psu.edu) and password. NOTE: College of Medicine and Penn State Health users should review the following webpage to locate and use their Penn State Account credentials to log in to COINS: Log In to Penn State Systems.
- Click the COI tab.
Disclosure Profiles (including your own) are displayed for the disclosers in your department.
Disclosure Profiles will be in one of two states: No Action Required and Action Required, as displayed in the State column. Disclosure Profiles in a state of Action Required mean that the discloser needs to log in to COINS and perform some action on their profile, such as completing required training and / or their annual disclosure profile update. NOTE: When a discloser has been added to a research project for the first time, their Disclosure Profile will also be in a state of Action Required.
- To view an individual’s Disclosure Profile, click the name in the Name column. NOTE: You can also use the Filter by options at the top of the table to search for an individual’s Disclosure Profile. For help with searching and filtering, please see the webpage Searching and Filtering in COINS.
NOTE: To locate your own disclosure profile on this page, change the Filter by drop-down to either Owner’s First Name or Owner’s Last Name. Enter your own information and click the magnifying glass (search icon).
- Click the View Disclosure Profile button.
On the left side menu, click Entity Disclosure Information.

- Entity disclosures section: Displays the entities the person has disclosed.
- Approved requests section: Displays a list of approved requests that the person has not yet marked as “Complete” in their Disclosure Profile. NOTE: Marking a request as “Complete” simply removes the request from this list the next time the person submits a disclosure profile update. Marking a request as “Complete” does NOT mean the person has disclosed the activity by adding it to their Disclosure Profile. If they did so, then that activity would appear in the Entity disclosures table.
