Improvements to the Punch List Process

Several improvements were made to the Punch List process changes went LIVE on April 18, 2022.

Punch List Workflow

The following changes were made to the workflow:

  • Subject will be automatically populated with [Company Name]_[Substantial Completion Type]_[Milestone or Phase].
  • Added new process data field for attachment of ‘Incomplete Items’. Improved instructions related to this new field.

Punch List Process Changes

  • Removed ‘Review Readiness’ step. Once Contractor submits, the process will route to the Designer for punch list preparation.
  • Improved instructions explaining the options

Option 1) attach a punch list document

Option 2) utilize the dynamic grid.

Added new process data field for attachment of ‘Punch List’ relation to option 1. Added new process data fields for attachment of ‘Punch List (Contractor Response)’ and ‘Punch List (Designer Verification)’, to be used with option 1.

  • Added new process data field for ‘Final Completion Date’.
  • Added new process data fields for ‘Substantial Completion Comments’ and ‘Final Completion Comments’. These comments will automatically be added to the substantial or final completion letter. Example usage includes clarification of punch list items (e.g., “Issued substantial completion but continuing to monitor spawling.”).
  • Updated substantial and final completion letters. Letters will be automatically generated, automatically uploaded to the ‘Documents \ 100 Closeout \ 060 Substantial Completion Docs’ or ‘Documents \ 100 Closeout \ 070 Final Completion Docs’ folder. Punch list will be referenced, but not included in substantial completion letter.

Punch List Process Changes

  • Changed actors on ‘Verify Completion’ step from PL/CSR/CMA/Designer to only Designer. Project Leader will still close the process.
  • Added ‘Return to Designer’ action at the ‘PL Close’ step.
  • Added FYI notification to Designer and Facility Coordinator when substantial completion letter is issued.
