How to e-mail Directly into a Document Folder

There is Document Folder setting that allows files to be emailed directly into a specific folder. If the folder has this option enabled there will be an envelope on the folder as shown below.

By default we have the option turned on for all projects for the Documents \ 090 Field Reporting \ 050 Testing and Inspection.

If you would like to have the email address option set up a folder on one of your projects, please submit an EBSR process with the request and the specific folder that you would like the option turned on for.

“Key” Word Search in Documents

Did you know that you can search for key words within pdf’s in e-Builder?

To search for “key” words in PDFs within a project in e-Builder, take the following steps:

  • Select the project in the project selection box.
  • Type the word you are searching for in the Search field at the top of e-Builder
  • Click the Search icon

  • A new screen will pop-up

  • Here you can select your options.

    • You can change the “Limit Search To” to select a project or leave blank to search across all the projects you have access to.

  • Click Continue Search to find all of the Documents with the “key” word

  • All of the documents containing the key words will be displayed below
  • Note:  By default, only 10 documents appear on one page, click the arrows to navigate to a different page

  • You can search for additional words by changing the word in the Search for field

  • You can search in different projects by selecting a different project from the Limit Search To field

  • Click Refine Search to change the search results

 ** Note you can limit this search to one project or use this search system wide and will search across all your projects you have access to.

 

Roles vs. Financial File Locations

Many people have asked why can’t documents automatically route to the location they need to be in.

The answer is, there are many consultant/contractor roles and if you put all of the files in one location, then everyone would be able to see everyone else’s information.  This is why the roles directly correspond to the 110 cost management folders available for use.

For example KFI is in the Designer Mgmt role:

When this Consultant, goes into the 110 Cost Management folder, they will ONLY see their folder 040 Contract Admin Designer; however, the PL can see all folders for all roles available.

  • If documents are not added to the right folder for each particular Consultant, it is a trickle-down effect, Contract Admin will add the Agreement/Amendment to the incorrect folder based on what was selected for the proposal and the Consultant will not be able to see the Agreement/Amendment to sign or acknowledge.
  • If a consultant is in the Specialty Designer 01 role and any of their documents are added by PSU to, for example, the Designer folders, the Consultant in the 02 Designer Mgmt role will be able to see the documents of the other Consultant and the person in the Specialty Design 01 role would not be able to see anything.
