Company Lookup Functionality
New functionality has been added to the EBUAR to provide a Company Lookup field that can be utilized to search for the exact company names in the system and find potential members information that you may want to add to the project.
This functionality has been added as a separate field to use as needed, it is not tied to the table because if someone is using the import functionality in the Add User section, the company name would have to match exactly.
Upon clicking the Company lookup, you will be able to search for a company and then will be able to click on that company to find user names and emails as needed.
For example: If you are looking for Hillis-Carnes, in the search field, type Hillis and click Filter. This will provide 4 results containing “Hillis”. Now out of the 3 Hillis-Carnes companies you will need to decide which one to use based on the company with contacts.
NOTE: SIMBA sends e-Builder duplicate companies; however, each company has a unique company name and number. As a rule of thumb, if we have done work with this company in the past, you need to select the company name that has contacts – if it does not, it is not the right company.
EXAMPLE #1 – INCORRECT COMPANY SELECTED:
If I select HILLIS-CARNES ENGINEERING ASSOCIATE^ from the list above by clicking on the name, it will add it to my EBUAR. From the company selection within the EBUAR, you can click on the company name to see the contacts.
When you click on the company name, the company record opens. Click on the contacts tab to see the people who are associated to that company. In this example, there are no contacts for this company record. This means you should NOT use this company (company number) when creating your commitment as we do not do work with them.
EXAMPLE #2 – CORRECT COMPANY SELECTED:
If I select Hillis-Carnes Engineering Associates, Inc.^ from the list above by clicking on the name, it will add it to my EBUAR. From the company selection within the EBUAR, you can click on the company name to see the contacts.
When you click on the company name, the company record opens. Click on the contacts tab to see the people who are associated to that company. You can copy and paste from this list to the “Add New” section of the EBUAR to add the appropriate people to your project as needed.
Project Members
Before submitting an EBUAR to add a member, please check to see who is already on your project per the instructions below. We also automatically add certain members of OPP including members of EHS and Engineering Services such as UP Area Engineers based on the Area that has been identified in the Project Request (PROJR) when we setup a project.
Also as a reminder:
- There can only be one Design Firm per Designer Role
- There can only be one Construction Firm per Contractor Role
- Submittal Coordinators need to be a Designer
- Design-Build Contracts – Contractors may also need the designer role – reach out to Michelle and Jessica to discuss
- Provide a company’s full name when you are requesting that we add the company or a member of the firm.
- Double check the email address of a user you are requesting to be added. We use a user’s email address as their e-Builder username
- The “Add company” section of the EBUAR is to be used to a add new company to e-Builder, not to add the company your project. Michelle and Jessica will add the company that is associated with the user you are requesting to be added to your project automatically.

Project Team Report
A quicker way to navigate to the project team is by running the project report.
- Click on the Reports tab
- Search for report by clicking CTRL+F
- Type in Project Team in the search bar
4. Click on the report titled Project Team
5. Select your project from the drop-down project list
6. The project team for that project appears in report below.
Roles and Document Folders
It is important to understand who is in each Participant Role on your projects. The roles not only affect what a user can do in a Process but it also determines what access they have to the Document Folders.
To determine what users have been assigned to which roles you can do the following:
- Select your project
- From the Project Menu click on the Details module
- Click on the Project Participants
- From here you can click in the different roles to see who is assigned in that role
Some key items to remember for roles
- Only one company can be in each role
- If you are hiring Design Services, the Lead Designer must also be in the 01P PSU OPP Design Svcs Lead role.
- If you are hiring Design Services, they must be in a Designer role such as 02 Designer
- If you are hiring Reno, they will always go into the 04 PSU OPP Reno role
- If you are hiring FAS, they should go into a Contractor role
In general, roles that start with:
- 01 are PSU
- 02 are Designers/Consultants
- 03 Construction Management Agency
- 04 Contractors
- 05 Consultants
So what does this mean for Document Folder permissions? You really need to make sure that you put files in the correct folders or the person who you want to see the files may not have access or someone may see a file who should not have access.
Folders to really pay attention to are the 110 Cost Management Folders. Each role will only see the folders that coincide with their assigned roles but individuals in certain 01 PSU roles can see all of the folders.
We do have an excel file for Folder permissions that is located in the *OPP e-Builder Resource project. Adding New Companies
- You must do an EBUAR to add users from a company before starting a Contract or Agreement. The Company must also be registered with SIMBA. Look for the ^ at the end of the company name to verify that they are in SIMBA. If a company is not registered with SIMBA they will need to complete the Supplier Registration for SIMBA.
- You must do an EBUAR to add the accounting people from a firm before an invoice/payment application can be submitted.
- If doing an FRA to request major maintenance funds from Ian, he must be selected as the FC, if he is not an option, please do a PDU to add him as an FC on your project.
- Make sure add companies to the Migrated projects. They can’t invoice until the PL adds them to a project.
