Coffee Hour Responsibilities

The department’s Coffee Hour series requires various tasks to be completed throughout the week. These responsibilities are covered by the first year graduate students in the department.

Your cohort should create an online spreadsheet to divide the Coffee Hour tasks, as described below, for the dates of talks over both semesters. Please share this spreadsheet with Angela once completed. It is recommend you use Google Docs or box.psu.edu or similar so that adjustments can be made if necessary.

A suggested division of responsibilities is:

  • Poster: 1 person
  • Coffee and Setup: 2-3 people
  • Breakdown and Cleanup: 2-3 people

In the past, the coffee hour responsibilities have been divided between 4 students per week (poster, food purchaser, coffee/food setup, and coffee/food cleanup), with furniture setup and cleanup responsibilities shared between the whole group.

Your poster is due by noon on Friday two weeks before the talk.

Include the following content on your poster:

  • Title of the talk
  • Name of the speaker
  • Title and affiliation of the speaker
  • “Department of Geography Coffee Hour”
  • Date (in this format): Friday, October 20, 2017
  • Time (in this format): 4:00 to 5:00 p.m.
  • Location: 112 Walker Building or online via Mediasite Live
  • Refreshments offered at 3:30 p.m. in 319 Walker Building

Design

To template or not? The GEOG 590 class decides whether to create a template design for all the Coffee Hour posters to use for the academic year or to allow each student to create a unique design for each lecture.
Template: Angela will send to college marketing director for approval and U.Ed. number one time for entire year.
Unique one-time designs: Angela will send to college marketing director for approval and U.Ed. number each time. In this situation, it is more likely that there will be corrections and changes for you to make.

  • Preferred fonts: Avenir and Serifa
  • Be creative and follow basic good design principles: balance, proximity, alignment, repetition, contrast, and space.
  • Think about the environment in which your poster will be viewed and how to make it stand out from the visual clutter

  • NOTE: For the Miller Lecture, we have a specific template for the poster and Angela will take care of that one.

Layout specifications

  • Size: 8.5 by 11 inches
  • Orientation: portrait or landscape
  • Border: 1/2 inch border for in-house printing
  • Resolution: 300 dpi for photos and graphics
  • Must include the statement of nondiscrimination and College of EMS mark
  • NOTE: For the Miller Lecture, we have a specific template for the poster and Angela will take care of that one.

Requirements

Email your PDF or Powerpoint file to geography@psu.edu

  • Your first draft is due by noon on Friday two weeks before the talk.
  • If there are any corrections, Angela will let you know. If you have sent her a PDF or JPG, you will be responsible for making any needed corrections. If you have sent a file she can open, Angela will take care of minor corrections, but any necessary and significant rework is your responsibility.
  • When approved and printed, Angela will email you the final PDF, and let you know that you can pick up the posters in her office (313 Walker Building). If she is not there, the posters will be in the bin on the door.

Distribution

Distribution should be completed by noon on Monday of the week of the talk.

You will receive 20 copies of the final poster. Post it on bulletin boards and in high-traffic areas near elevators or where people have to wait in line.

  • 10 posters in Walker Building (generally 2 per floor on 1st–3rd floor, 1 on every other floor)
  • 2 posters in each of the following buildings: Deike (ground floor and the library entrance), Hosler, Steidle
  • Remainder in other locations you frequent: Panera at Westgate; Starbucks, HUB, Kern Building, etc.
  • If the speaker works in another department at Penn State, it may be a good idea to put a few posters in the speaker’s building or the building of their college. If the talk may be of interest to another department outside of Earth and Mineral Sciences, you may wish to place posters in that department’s building(s).

Per Penn State policy, attach posters to publicly-designated bulletin boards only. Do not tape copies to walls, doors, or windows. Remove and recycle any old Coffee Hour posters you come across while posting new ones to prevent any confusion.

Refreshments

Because of the ongoing concern regarding the safe and proper handling of food products, food served by recognized student organizations will be limited to products: 1) prepared by a external food and beverage provider or University food service, 2) are not required to be temperature controlled, and 3) that are prepackaged for resale. (Reference: AD26 Sale and Serving of Food and Beverages at University Locations.)

Room Set up

3:00–3:10 p.m. 319 Walker Building. Stack all tables along walls and place pub tables in center of room, place a table in the hallway for drinks. (coffee, hot tea and bottled water)

Food and Beverage Prep

3:00–3:30 10 cup coffee maker is on the heating vent by window in 304 Walker. Use the coffee that is in the top drawer of the filing cabinet under printer by Missy’s desk (coffee and filters). 3 scoops of coffee for a full pot. You may need to brew two pots. When the coffee is ready pour the hot coffee into the airpot (image at left) located in 304 Walker.

 

 

3:10–3:30 Prepare food items and display plates, utensils and food items on a table along the wall in 319 Walker. Set bottled water, hot water, tea bags, sugars, creamers, and cups on the table in the hallway right outside the door of 319 Walker.

3:30–4:00  Refreshments and socializing

Presentation and Room Clean-up

4:00–5:00 112 Walker Building. Lecture presentation. (Food and beverages are not permitted in room 112.)

5:00–5:30  Room clean up. 319 Walker tables must be put back in a classroom style U. All garbage and food cleared out of the room.  Room 304 Walker: Make sure all dishes are washed and placed in strainer. We recycle, so please remember to use the compost bin and recycling bins near the elevator.
